Importing Old Paper Records (OCR + AI)

Record Import (?page=record-import&id=X) turns scanned or photographed paper records — old prescriptions, discharge summaries, handwritten notes — into a clean, editable clinical note. It uses OCR followed by AI extraction to structure the content.

Step-by-step

  1. From a patient's Notes tab, choose Import old records.
  2. Upload the scanned image(s) or PDF.
  3. PDFs longer than 3 pages are automatically split into smaller batches on your device before upload (OCR service limitation), each batch processed and then recombined.
  4. Wait for processing — status and page progress are shown for each import.
  5. Review the AI-generated note, edit as needed, and save it into the patient's clinical notes.

Requires

view_clinical_notes permission.

Common issues & fixes

large multi-batch PDFs take longer; check back, or verify OCR/AI services are configured and reachable.
always review the generated note before saving; OCR quality depends heavily on scan clarity/handwriting legibility.
past imports for the patient are listed so you can avoid re-uploading duplicates.
